This Privacy Policy explains how NERUOS collects, uses, shares and protects personal data when you visit neruos.tech, contact us, request a demo or product trial, or apply for a job with us. Please read it together with our Terms of Use.
1. Who we are
NERUOS is a software engineering and digital transformation company. We provide custom software, AI, ERP, cloud and infrastructure, IT outsourcing and support services, and we offer products including Nexus, N-Care, Smart ERP, NFit and NHealth.
NERUOS operates through two entities, each of which acts as the controller of the personal data it handles:
- NERUOS S.A.L, with offices in Beirut, Lebanon.
- NERUOS Company, with offices in Riyadh, Kingdom of Saudi Arabia.
As a general rule, the entity you deal with (or the entity that serves your country or region) is responsible for your data. Where both entities need to handle the same enquiry, for example to route it to the right team, they may each act as controller for their own use of that data. In this policy, “NERUOS”, “we”, “us” and “our” refer to both entities.
2. The personal data we collect
We aim to collect only what we need. Depending on how you interact with us, this may include:
- Contact and business details: name, work email address, phone number, company name, job title or role, and country.
- Enquiry content: the message you send us and any details you share about your project, requirements or product interest (for example, a request for a demo or a 7-day trial).
- Careers information: your CV and any information you include in it or in your application, such as education, work history and skills.
- Communications: records of emails, phone calls and WhatsApp messages you exchange with us.
- Newsletter data: if you subscribe to our newsletter, your email address and basic information about how you interact with our emails (such as opens and clicks).
- Technical and usage data: IP address, browser and device type, pages visited, referring website, and similar data collected through cookies and analytics tools, subject to your cookie choices.
Please do not send us sensitive personal data (such as health, religious or financial account information) through our website forms or messaging channels unless we specifically ask for it and explain why.
3. How we collect it
- Directly from you, when you complete a contact, demo, enquiry or careers form, subscribe to our newsletter, or email, call or message us on WhatsApp.
- Automatically, through cookies and similar technologies when you browse our website, in line with the choices you make in our cookie banner.
- From others, occasionally, such as a colleague who refers you to us or a recruiter who forwards your application.
4. Why we use your data and our legal bases
We use personal data for the following purposes:
- Responding to enquiries and arranging demos, proposals and meetings.
- Providing product trials and following up on them.
- Managing business relationships, including keeping records of our communications in our email systems and customer relationship management (CRM) system.
- Recruitment, including reviewing applications and contacting candidates.
- Sending our newsletter and relevant updates, where you have subscribed or where otherwise permitted.
- Operating and improving the website, including understanding how visitors use it.
- Security and legal compliance, including preventing misuse and meeting legal, tax or regulatory obligations.
Depending on the purpose and the law that applies, we rely on one or more of these legal bases:
- Consent, for example for non-essential cookies, analytics and newsletter subscriptions. You can withdraw consent at any time.
- Steps before or under a contract, such as preparing a proposal, setting up a trial or considering your job application.
- Legitimate interests, such as responding to business enquiries, keeping business records and securing our website, where these interests are not overridden by your rights.
- Legal obligations, where we must keep or disclose information by law.
5. Cookies and analytics
Our website uses cookies and similar technologies. Strictly necessary cookies are needed for the site to work and cannot be switched off. Other cookies, such as analytics cookies, are only used if you accept them.
We use a consent banner provided by CookieYes to let you accept, reject or customise non-essential cookies. You can change your choices at any time through the cookie settings link on the website or through your browser settings.
We may use Google Analytics to understand how visitors use our website, such as which pages are most visited. Where we do, it will only run after you consent to analytics cookies. Google processes this data under its own terms and privacy policy.
6. Who we share data with
We do not sell your personal data. We share it only where needed, with:
- Our two entities, NERUOS S.A.L and NERUOS Company, to handle enquiries and deliver services.
- Service providers that support our operations, such as our website hosting provider (Hostinger), our cookie consent provider (CookieYes), analytics providers (such as Google Analytics), our newsletter platform (such as Mailchimp), our email services, our CRM system (Odoo), and messaging services such as WhatsApp. These providers may only use your data to provide their services to us.
- Professional advisers, such as lawyers, accountants and auditors, under duties of confidentiality.
- Authorities, where required by law, court order or to protect our rights, users or the public.
- A buyer or successor, if all or part of our business is reorganised, merged or sold, subject to appropriate protections.
7. International transfers
We operate in Lebanon and the Kingdom of Saudi Arabia, and your data may be accessed from both countries. Some of our service providers, including our hosting provider, may store or process data in other countries, including in the European Union and the United States.
Where we transfer personal data across borders, we take steps to ensure it remains protected in line with applicable law, for example by using reputable providers, relying on contractual safeguards, and limiting transfers to what is necessary for the purposes described in this policy.
8. How long we keep data
We keep personal data only for as long as we need it for the purposes above, including to meet legal, accounting or reporting requirements. As a guide:
- Enquiries and business contacts are kept for as long as the relationship is active and for a reasonable period afterwards, typically up to 24 months after our last contact, unless a longer period is needed for an ongoing engagement.
- Job applications and CVs are kept for up to 12 months after the recruitment process ends, so we can consider you for future roles, unless you ask us to delete them sooner. If you join NERUOS, your data becomes part of your employment record.
- Newsletter data is kept until you unsubscribe.
- Analytics data is kept in line with the retention settings of the analytics tool.
When data is no longer needed, we delete or anonymise it securely.
9. Security
We use reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include encrypted connections to our website, access controls so that only authorised staff can view data, and choosing service providers with appropriate security practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and to respond promptly to any incident.
10. Your rights
Depending on where you are and the law that applies, you may have the right to:
- be informed about how we use your personal data;
- access a copy of your personal data;
- correct inaccurate or incomplete data;
- request deletion of your data;
- object to or restrict certain uses of your data;
- withdraw consent at any time, without affecting processing already carried out;
- request a copy of your data in a portable format, where applicable;
- opt out of marketing emails at any time, using the unsubscribe link or by contacting us.
To exercise any of these rights, contact us using the details below. We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law. If you are not satisfied with our response, you may have the right to complain to the relevant data protection authority.
11. Applicable laws
We handle personal data in line with the laws that apply to our operations, including the Saudi Personal Data Protection Law (PDPL) and its implementing regulations for NERUOS Company, and Lebanon’s Law No. 81/2018 on Electronic Transactions and Personal Data for NERUOS S.A.L. Where other data protection laws, such as the EU General Data Protection Regulation (GDPR), apply to your use of our website, we will honour the rights they give you.
12. Children
Our website and services are intended for businesses and professionals. They are not directed at children, and we do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
13. Links to other websites
Our website may link to third-party websites, platforms and services, such as social media pages or WhatsApp. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.
14. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services or the law. The “Last updated” date at the top shows when it was last revised. Where changes are significant, we will take reasonable steps to let you know, such as a notice on our website.
